About the Role

We're a small team that moves fast, and we need someone who can help keep the wheels turning while we grow. As our Operations Assistant, you'll work directly with our Chief of Staff to keep projects on track, manage day-to-day needs and deliverables, and make sure nothing falls through the cracks. This is a roll-up-your-sleeves role where no two days look the same. The ideal candidate is organised, proactive, and excited to learn how to drive impactful projects in a fast-moving tech environment.

What You’ll Do

Manage projects:
  • Help draft and maintain project plans, timelines, and progress trackers. Help prepare meeting notes, follow up on action items, and support internal communication workflows. Support reporting and updates on project status, risks, and milestones
  • Move key projects forward by coordinating tasks, maintaining project management systems, following up with team members, and keeping everything on track
  • Manage communication with high profile clients and donors such as GIZ, UN agencies, large bank clients, and others
  • Own smaller projects end-to-end when the team needs something handled

Operations:
  • Contribute to the setup and improvement of systems, processes, and documentation that help the team work efficiently
  • Make sure the right people have the right information at the right time
  • Figure out better ways to do things when current processes aren't working

Solve problems:
  • Anticipate issues before they become fires
  • Be the person who just makes things happen
  • Jump in wherever needed to solve urgent problems, put out fires, or help Zindi run better.

What We’re Looking For

  • Strong organisational skills and attention to detail
  • Excellent communication and time-management skills
  • Digital native: comfortable and experienced with digital tools such as Google Workspace, ChatGPT, Claude, and project management platforms
  • Relevant experience in project management, coordination, or community leadership
  • Someone proactive and willing to take initiative without waiting to be asked
  • Someone who is always looking to improve themselves and the systems they work in
  • An independent thinker who can make thoughtful decisions
  • Eagerness to learn and grow in a supportive environment
  • A master’s degree is preferred, but not required

What You’ll Learn

  • Practical project management skills and exposure to real operational workflows.
  • How growth, partnerships, and community programs are run in a tech ecosystem.
  • Tools such as HubSpot, Google Workspace, Slack, and project management frameworks.
